TBEA Board Meeting Minutes, February 8, 2015, McMenamin's, Wilsonville.
The meeting was called to order at 1 PM by president Jennifer Ferro. Members present were Janice Lawson-Richards, Elyse Evans, Dianna Smith, Jennie Lovell, Carol Ramsey, Sarah Posey, Ann Montieth, and Melanie Underwood up from southern Oregon with a friend, Kayla.
Minutes from the last meeting were reviewed. The by-laws changes proposed there had garnered no objections, so It was moved and seconded that they be adopted pending a legal review to make sure they complied with Oregon and national tax codes. Motion passed.
Treasurer Chuck was absent, but sent in a short report. We have $5572.45 in checking. We have known outstanding bills of $500 for insurance, approximately $125 for year-end awards, and are expecting further awards expenses. The spring show deposit has been made, but we will also owe final arena expenses and judging fees. We have also taken in $120 in membership renewals and horse registrations.
Points and awards Dressage awards were discussed. It was moved and passed that to win a year-0end award at any level for dressage the person must submit at least 2 scores above 60%. Further work on revisions was tabled pending a review and re-write of the whole rule book-with an eye to simplifying it. Sarah will send the word document for the rulebook to Jenny Ferro who will begin that work. We will try to become current with national rules where possible.
The jump trailer was discussed. It will be sent to Tami Platt for storage, but Melanie moved that we take pictures of the trailer and all its contents to assure that TBEA materials are kept in present condition, if not improved.
Volunteer hours were discussed. We will definitely be enforcing the 2 hour rule for awards this year. Exceptions for hardships will be submitted to the board in written form on a case-by-case basis, and the ruling of the board shall stand. The board can, at its discretion, allow substitution of such things as class or division sponsorships or hours worked for a horse rescue.
Canby Tack Sale Dianna Smith volunteered to head that effort-contact her to help, or to bring sale items.
Awards lunch the club will furnish utensils, plates, napkins, drinks, and some pizza. All else is pot-luck. Members should bring a favorite dish. Board members should arrive at 11:30 to help set up tables and awards. Janice took a check for $20 for the use of the building.
Further meetings Jennifer Ferro is going to invite speakers to some of our future meetings to help encourage members to come please contact her if you have suggestions for good speakers such as veterinarians, trainers, etc.
TBEA Dressage Team Jennie Lovell is arranging clinics for any TBEA member to work on their dressage. Riders and horses on the final team for the ODS May team show will depend on health status, but we hope to have at least 4. Please contact Jennie Lovell to sign up for the team or to get a spot in a clinic. The next one will be Feb. 22 at Pete’s Place.

Spring show March 29 at Oregon Equestrian Center. Judge-Tina Bell. OFEA approval is done. Ad is placed in Northwest Rider. We are contacting the center about concessions. We have a full set of ribbons, but need to purchase 4 high-point awards. We also need the following:

- Announcer (1-2 people)
- Paddock/gate managers - 2 at all times for taking tickets and handing out ribbons.
- Stall manager for Saturday night - Melanie Underwood
- Stall manager for Sunday-check in and check that stall has been cleaned.
- Parking attendants - 2 for early morning, one for post-show to check that spaces are left clean.
- Ring Steward - all day, can be more than 1 person
- Jump/Obstacle crew - set up and take down hack jumps and trail course.
- Office - At least 3 people for morning office rush-please volunteer if you aren’t doing halter.
